How CliniCall answers your practice phone

A voice assistant configured for your practice: your opening hours, your sites, your appointment types and your rules for what it may and may not handle.

The routine calls that fill your day

  • Books new appointments

    Finds the right appointment type, offers real free slots and books them in your practice software.

  • Takes reschedule and cancellation requests

    Notes the appointment and the times the patient prefers, then sends a callback request. It never moves or cancels an appointment itself: your team confirms.

  • Takes the patient’s details

    Asks for the patient’s name, date of birth and the reason for the call, and passes them on with the booking or the callback request.

  • Answers practice questions

    Opening hours, locations, what to bring, how to prepare. Only from information you have approved.

  • Transfers the call or takes a callback request

    When a person is needed, it transfers the call to the front desk if it is staffed; otherwise it collects the details and sends your team a summarised callback request.

  • Answers at any hour

    Once calls are forwarded to it, the assistant answers at night, at weekends and on public holidays as it does during the day.

  • Speaks your patients’ languages

    Detects the caller’s language. French and English are verified on lines already in service.

It knows what it must not handle

The assistant never gives medical advice and never invents availability or policies. When a request is outside its rules, it says so and transfers the call to the front desk during staffed hours; outside them, it tells the caller the team will call back and sends your team the request with a summary.

  • Urgent cases

    Follows the urgency rules you define, for example which site handles emergencies and what the caller should do right now.

  • Summaries, not voicemails

    Your team receives who called, why, and the details already collected, so the callback is short and already prepared.

Honest about being virtual whenever asked

The assistant answers as the practice’s front desk. As soon as a caller asks who they are speaking to, it says it is the practice’s virtual receptionist; it never claims to be a person.

From demo to live phone line

  1. Demo

    A 30-minute demo, which also tells us how your phone is used today: call types, sites, software and what must always go to a person. You receive a written quote afterwards.

  2. Configuration

    We set up the assistant with your practice information and rules, and connect it to your practice software.

  3. Testing with your team

    Your team calls it, tries to break it and approves how it responds before any patient hears it.

  4. Go live

    You forward calls when you are busy, or all calls, and review every conversation in your dashboard.

Questions practices ask us

Will patients know they are not talking to a person?

It answers as the practice’s front desk and says it is the practice’s virtual receptionist as soon as it is asked. It never presents itself as a person.

What happens when it can’t help?

While your front desk is staffed, it transfers the call to your team. Outside those hours, it explains that a member of the team will call back, collects the caller’s details and the reason for the call, and sends a callback request with a summary.

Which practice software does it work with?

Mikrono is live in production and XEYEX is being deployed. Other systems are integrated per practice; tell us which one you use.

Does it handle urgent calls?

It follows the urgency rules you define and never gives medical advice. Urgent cases are directed exactly as your practice specifies.

Which languages does it speak?

It detects the caller’s language. French and English are verified on lines already in service; we validate any other language on your line before go-live.

Do we keep our phone number?

Yes. The assistant has its own number; you forward calls from your current number to it, all the time or only when your team is busy.
